About the product

What is POplanner?

POplanner is a purchase planning web app for wholesalers, distributors and importers. It reads the stock and sales export from your ERP and suggests a purchase order per supplier: which items to order, how many, and by when. It counts lead times, safety stock, carton sizes, sea and air freight, seasonal events and past stock-outs.

Who is POplanner for?

Companies that buy goods from suppliers and sell them on to shops or businesses, and that plan purchases from an ERP plus a spreadsheet today. It suits a few hundred to a few thousand active items across several suppliers, with lead times of weeks or months.

What problem does it solve?

It replaces the monthly purchase workbook. Instead of pasting exports and repairing formulas, you drop in the export and get an order quantity for every item, with one-off spikes, stock-out months and season dates handled. Bestsellers are reordered before they run out, and slow items are not topped up.

How is POplanner different from planning in Excel?

It reads the export as it is, recognises columns in English, German and Dutch, rounds to cartons, keeps one-off spikes and stock-out months out of the average, plans 13 seasons by sea and air, and gives every line a confidence score and a written-out sum. Is POplanner an ERP or an inventory management system?

No. It sits next to your ERP and plans purchases from its export. Your ERP stays the source of truth for stock, orders and invoices, and POplanner never writes back to it.

Your data and your ERP

Which ERP systems work with POplanner?

Any system that can export an item list to Excel or CSV, including Exact, AFAS, SAP Business One, Microsoft Dynamics and Odoo. There is no connector to install.

What does the export need to contain?

Item number, available stock and monthly sales, one column per month. Customer orders, incoming orders, carton size, purchase price, supplier, lead time and catalog status are used when present.

Does POplanner subtract customer orders from stock?

Only when you tell it to. Most ERPs report an available figure that already has customer orders taken off. You tell POplanner once which figure your export holds, and it never deducts customer orders twice.

Where is my data processed?

The export is opened and calculated in your browser. Each person's plan, decisions and PO tracker are saved to their POplanner account so they can continue on another computer. POplanner never changes anything in your ERP.

What happens when I import next month's file?

Stock and incoming orders are updated, the new month of sales is added, and your decisions, notes and PO tracker stay. A month already in POplanner is never lowered by a shorter file.

How the plan is worked out

How does POplanner decide when to reorder?

An item is reordered when its stock, plus what is already on order, lasts less than your lead time plus a safety margin. The default is 2.0 plus 0.5 months, and you can set it per supplier.

How does it decide how much to order?

It orders the gap between what you have and a cover target you choose, for example 5 months of sales, and rounds up to full cartons. Every line shows the sum.

What does it do with a one-off big order?

If most of an item's sales came in one month, POplanner suggests a safe quantity without that month, marks the line yellow and asks you to check it. It warns you before export if flagged lines are still unchecked.

How does it handle stock-outs?

Months with zero sales because the item was out of stock are recognised and kept out of the average, so the empty shelf doesn't lower the next order.

Which seasons does it plan for?

Thirteen European events: Sinterklaas, Christmas, New Year's Eve, Valentine's Day, Carnival, St. Patrick's Day, Easter, King's Day, Pride, festival season, Oktoberfest, Halloween and Black Friday. For each it shows the order-by date by sea (12 weeks by default) and by air (4 weeks).

What is the confidence score?

A score from 0 to 100 on each suggestion. It rises with months of data, steady sales and recent sales, and falls with gaps and spikes. Hover it to read the reasons.

Account, demo and pricing

Can I try POplanner before I sign up?

Yes. The demo on the home page runs the planning screens with a made-up toy wholesaler of 111 items and four suppliers. Importing your own file and exporting orders needs an account.

How does my team sign in?

With a six-digit code sent by email. There are no passwords. Each person chooses how long to stay signed in, up to 30 days.

Can POplanner show our company name?

Yes. Your company name and logo appear at the top of every screen and on every export.

Do I need to install anything?

No. POplanner runs in the browser at poplanner.app.

How much does POplanner cost?
